How Does Jewelry Sampling Work? Fees, Revisions and Credit

Updated November 2026 · 4 min read · Reviewed by the VenusGem production team

Short answer: you pay a sampling fee per design that depends on the material and the complexity of the style. While the design is still being confirmed you can request changes, up to three rounds. Once you confirm the design, changes stop — tooling and materials are already committed. When the bulk order reaches the MOQ for that style, the sampling fee is credited against the order.

What the sampling fee covers

The fee covers building one physical sample of your design: materials, the model or mould work needed for that design, and the finishing. It is quoted per design, not per order, because each design carries its own setup.

Sampling fee factors
FactorWhat changes the feeWhy
MaterialSterling silver and gold-plated styles cost more than bead-strung stylesMetal cost and plating setup
ComponentsMore separate parts (charms, clasps, multiple stones) cost moreEach part adds assembly and sourcing
Stone settingSetting stones adds cost versus glue-on or drilled beadsHand work and breakage risk
FinishSpecial finishes (rhodium, matte, two-tone) add costExtra plating or polishing steps

Because the fee depends on these factors, we quote it per design after reviewing your drawings or references. We do not publish one flat number, because a flat number would either overcharge simple styles or lose money on complex ones.

How many rounds of changes you get

You get up to three rounds of revisions while the design is being confirmed. A round means you receive the sample or the drawing, review it, and send consolidated feedback. Sending feedback in batches is faster than sending corrections one at a time — it usually saves a full round.

  • Before confirmation: you can change size, colour, stone, clasp, plating and logo placement.
  • Feedback should be one consolidated list per round, not separate messages.
  • After you confirm the design: no further changes. Tooling, material purchasing and production scheduling have started.
  • If you need a change after confirmation, it is treated as a new design and re-quoted, including a new MOQ.

Why the lock exists

Confirmation is the point where we commit moulds, order materials and book production time. Reopening a confirmed design usually means discarding work already paid for, which is why it is priced as a new project rather than a revision.

When the sampling fee is credited back

The sampling fee is credited against the bulk order when the order reaches the MOQ for that style. It is not credited on orders below the MOQ, and it is not credited against a different style.

In practice: if the sampling fee is charged for a pearl bracelet design and the bulk order for that design reaches its MOQ, the fee is deducted from the invoice. If the order stays below the MOQ, the fee stays a fee.

What the process looks like

  • You send drawings, references or a product link plus the quantity you have in mind.
  • We confirm the design details, the MOQ per style and the sampling fee.
  • You pay the sampling fee; sampling starts.
  • You review the sample and send consolidated feedback — up to three rounds in total.
  • You confirm the design. From this point changes are closed.
  • Bulk production is scheduled; the sampling fee is credited when the order meets the MOQ.

How to reduce the number of rounds

Most extra rounds come from incomplete input at the start rather than from factory errors. Three things cut rounds most:

  • Give exact measurements (length, pendant size, stone size), not "about this size".
  • Give references for the finish you want — a photo of the actual colour, not a brand name.
  • Decide logo placement and packaging before sampling, because both affect the sample build.

Questions buyers ask

Is the sampling fee refundable if I do not proceed?

No. The fee pays for the sample and the setup work already performed. It is credited only against a bulk order that reaches the MOQ for that style.

Can I get more than three rounds of revisions?

Three rounds are included while the design is being confirmed. Beyond that, the usual cause is a spec that was never settled, so we re-scope the design instead of running more rounds.

Can the sampling fee be applied to a different design?

No. The fee is tied to the design it was quoted for. A different design has its own setup and its own fee.

What happens if the sample does not match the spec?

That is a revision round, and it is not counted against you — we fix it against the agreed spec. The three rounds cover both your changes and spec corrections.

Do I pay sampling for every style in my collection?

Yes, sampling is per design because each design needs its own setup. Styles in the same material family still each need their own sample.
